IATIS Privacy Policy (May 2018)

As stated in our constitution, “The International Association for Translation and Intercultural Studies (IATIS) is a non-profit making organization. It provides an intellectual forum where scholars from different regional and disciplinary backgrounds can debate issues relating to translation and other forms of cross-cultural communication.”

Here at IATIS we take your privacy seriously and will only use your personal information to administer your membership account. There are two kinds of membership, registered members and active members. IATIS registered members are users only registered on the IATIS website, while active members are those paying the IATIS membership fee and gaining access to the Intranet, reduced conference registration etc. The personal data we collect for registered members is your name, surname, username and email address. We only contact registered members for account management (including an annual email to encourage active membership), security warnings (i.e. account violation), and in response to queries initiated by such members.

The personal data we collect for active members is your name, email address, address for correspondence (this also enables us to determine differential membership fees as per Country Band https://www.iatis.org/index.php/membership/membership-bands-and-fees) and affiliation. We also ask you for your language competencies (mother tongue and other fluent languages). As an international organisation of translation and intercultural scholars aiming to adopt a multilingual policy at our conferences, in our virtual spaces, and in the development of the Tradu-Xio Project https://www.iatis.org/index.php/6th-conference-hong-kong-2018/item/1606-traduxio-iatis-ti-project, this information is used to identify the language skills we hold as an organisation.

This information can be accessed and edited by active members at any time. Active members are also able to independently check their membership status and view on their My Membership page the status of their membership, the date of their membership activation and the expiration date of their membership. This information is generated by the system for the efficient management of the membership process.

Details of all new active membership transactions are confirmed by Barclaycard via email, verified by The IATIS Treasurer and kept in The Treasurer’s password-protected encrypted institutional email account for no more than 30 days. To administer the membership account of active members, we contact you by email only for membership management (e.g. to remind you when your fee-paying annual membership needs to be renewed; if something is wrong with payment or for refund purposes); for security warnings (i.e. account violation) or in response to queries initiated by active members. We also use your email address to send you the tri-weekly IATIS Bulletin. Users can manage their preferences regarding receiving email correspondence via the website. We will not send you unsolicited mail through the post.

Both registered and active members are able to delete their account at any time by sending a request via the Contact Form with the option “Delete IATIS account”. We will not sell or share in anyway your membership data or personal data with any other organisation.

Website

All data is stored on a database protected by the secure protocol Transport Layer Security (TLS) to encrypt any communication between client and our server.

We do not store any data coming from the contact form. To mitigate spamming, our forms are monitored by a third-party service, CleanTalk. We send CleanTalk some basic personal information (i.e. email address and username) and some technical information (i.e. IP address, JavaScript library) and the text message of the sender. CleanTalk stores this information for no more than 31 days. The CleanTalk privacy policy can be found here: https://cleantalk.org/publicoffer#privacy.

To improve our system security and protect other users against malicious activity, we store authenticated users’ IP address on our database for no more than 30 days. We track IP addresses during the login process in order to mitigate cyberattacks. The system stores an IP address only if malicious activity has been detected.
